PRIVACY POLICY

This privacy policy (“Policy”) describes how Menantic Aviation LLC and its related companies (“Company”, “we”, “us”) collect, use and share personal information of people who use this website, https://www.arelplane.com (the “Site”). This Policy also applies to any of our other websites that post this Policy. It does not apply to websites that post different statements.

WHAT WE COLLECT

We get information about you in a range of ways.

Information You Give Us. When you create an account we collect your name, email address, username and password. You may also give us profile information such as a bio, employer, home base, Instagram handle, and your pilot certificates, ratings and their expiration dates.

Your Flight Data. Arelplane is built around your flying history. We collect the logbook files you upload or connect, the flights you enter or record with the flight timer, and everything in them: dates, airports and routes, aircraft, flight times, remarks, and the people you tag as passengers, instructors or crew. If you add photos or videos to a trip, we collect them and any location and time information stored in the file, which we use to place them on your map.

Payment Information. Payments are processed by Stripe. Your card details go directly to Stripe and are never stored on our servers. We keep your subscription status, plan and billing history.

Information We Get From Others. If you sign in with VATSIM, VATSIM sends us your VATSIM ID, name and email address. If another pilot shares a flight with you, we receive the details of that flight and your role on it.

Information Automatically Collected. We automatically log information about you and your device. For example, when you visit the Site we log your IP address, operating system, browser type and language, the website you visited before ours, the pages you viewed, how long you spent on them, access times and your actions on the Site.

COOKIES AND SIMILAR TECHNOLOGIES

Cookies are small data files a website stores in your browser. We use three kinds. The first is always on; the other two are off until you allow them.

Strictly necessary. These keep you signed in, protect the Site against forgery attacks, remember a referral code you arrived with, and remember your cookie choice (the arelplane_consent cookie, kept for six months). The Site cannot work without them.

Analytics (only with your consent). These help us understand how Arelplane is used so we can improve it.

  • Google Analytics, loaded through Google Tag Manager, records the pages you view. If you are signed in we also send Google an internal account number (not your name or email), your plan type and how many flights you have logged.
  • PostHog records how you use the Site and makes session recordings of your visits. Those recordings include what you type into forms, except passwords, which are always masked.

Marketing (only with your consent). These tell us which of our ads bring pilots to Arelplane.

  • Meta (Facebook) Pixel records that you visited the Site and whether you created an account.
  • OpenAI Measurement Pixel records whether you created an account. If you arrived from one of our ads in ChatGPT, the link carries a click identifier, which the pixel and we store in cookies (__oppref, arelplane_oppref) for 30 days and which we keep on your account so we can see which ads work. OpenAI’s pixel may also send OpenAI a hashed (SHA-256, one-way scrambled) version of the email address you enter in our forms, which OpenAI uses to match the account you created to an ad you saw.
  • When an account that came from an OpenAI ad starts a trial or makes its first payment, our servers also tell OpenAI the plan name, amount and currency together with that click identifier. We never send OpenAI your name or email address.

The first time you visit, a banner asks which of these you allow. You can change your mind at any time using the Cookie settings link at the bottom of every page. Declining analytics or marketing cookies does not limit what you can do on Arelplane. If you withdraw your consent, we delete the cookies for that category and stop sending that data. You can also block or delete cookies in your browser settings, though blocking the strictly necessary cookies will stop the Site from working.

USE OF PERSONAL INFORMATION

We use your personal information as follows:

  • To provide Arelplane: to build your maps, statistics, recaps and trips from your flight data, and to let you share them with the people you choose.
  • To operate, maintain and improve the Site, our products and services.
  • To respond to comments and questions and provide customer service.
  • To send information including confirmations, invoices, technical notices, updates, security alerts, credential expiration alerts you have turned on, and support and administrative messages.
  • To communicate about promotions, upcoming events and other news about products and services offered by us and our selected partners.
  • To measure our advertising, as described under Cookies above, when you have allowed it.
  • To link or combine information you give us with other information we hold about you.
  • To provide and deliver the products and services you request.

AI-POWERED IMPORTS

When you upload a logbook that is not in a format we recognize, or an image, screenshot, PDF or forwarded email, we send that file to Anthropic’s Claude API to read the flights out of it. The file is processed under Anthropic’s commercial API terms, which do not allow Anthropic to train its models on it. Standard logbook exports from apps like ForeFlight are read on our own servers and are not sent to Anthropic.

SHARING OF PERSONAL INFORMATION

We may share personal information as follows:

  • With other users, as you direct. Your profile, and the flights, trips and recaps you choose to share, are visible to the people you share them with. Profiles are public unless you turn on a private account. Pilots you tag on a flight can see that flight.
  • With service providers who need it to do work for us, under contracts that limit how they can use it: Stripe (payments), Postmark (email delivery), Amazon Web Services (file storage), Railway (hosting), Bugsnag (error reporting, which may include your account number), Anthropic (AI-powered imports, above), and Mapbox and Cesium (map imagery, which receive your IP address when maps load).
  • With analytics and advertising partners, only when you have allowed those cookies, as described under Cookies above.
  • With your consent. For example, you may let us share personal information with others for their own marketing uses. Those uses will be subject to their privacy policies.
  • When we do a business deal, or negotiate a business deal, involving the sale or transfer of all or part of our business or assets. These deals can include any merger, financing, acquisition, or bankruptcy transaction or proceeding.
  • For legal, protection and safety purposes:
    • to comply with laws;
    • to respond to lawful requests and legal processes;
    • to protect the rights and property of Menantic Aviation LLC, our agents, customers and others, including enforcing our agreements, policies and terms of use;
    • in an emergency, including protecting the safety of our employees and agents, our customers, or any person.

We may also share aggregated and/or anonymized data, which cannot identify you, with others for their own uses.

YOUR CHOICES AND RIGHTS

Our marketing emails tell you how to opt out. If you opt out, we may still send you non-marketing emails, such as emails about your account and our business dealings with you.

You can update your profile and account information at any time from your account settings, and change your cookie choices from the Cookie settings link at the bottom of every page.

Depending on where you live, you may have the right to ask us for a copy of the personal information we hold about you, to correct it, to delete it, to restrict or object to how we use it, to receive it in a portable form, and to withdraw any consent you have given. To make a request, contact us at the address below. We will verify your identity before acting on it. If you are in the European Economic Area, the United Kingdom or Switzerland, you also have the right to complain to your local data protection authority.

DATA RETENTION

We keep your account and flight data for as long as you have an account. When you delete your account we delete or anonymize your personal information within a reasonable period, except where we must keep it for legal, tax or billing reasons. Cookie lifetimes are listed under Cookies above. Session recordings and analytics data are kept by our providers for the periods in their own policies.

INTERNATIONAL TRANSFERS

We are based in the United States and our servers and service providers are located there. If you use Arelplane from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

SECURITY

We use reasonable technical and organizational measures to protect your personal information, including encrypted connections and hashed passwords. No system is completely secure, so we cannot guarantee the security of your information.
